Google Calendar on your calendar

Google Calendar on your calendar

Connect Google Calendar and your meetings appear on the project calendar, next to your tasks and your agents' scheduled runs. It's read only: Claos never changes anything in your Google Calendar. From there, any meeting can become a task with one click.

Connecting

  1. Open a project and switch to its calendar with the Board/Calendar toggle at the top.
  2. Click Calendars (the link icon in the calendar's toolbar).
  3. Click Connect Google Calendar and sign in to Google in the window that opens.

The first sync starts straight away. After that, your calendar is refreshed when you open it, if it's been more than 15 minutes. Sync now in the same panel pulls straight away.

A connected calendar belongs to the workspace, like every connected app: everyone in the workspace sees its meetings. Members, admins and owners can show or hide a calendar, change its colour, sync it or remove it, and doing so changes it for everyone. Viewers see the calendars but can't change them. In a shared workspace, think twice before connecting a personal calendar.

You'll see events from the last 30 days and the next 90.

What you see

Meetings are drawn as outlined chips with a coloured dot, so they never look like tasks. To hide or show them, open the calendar's Filter menu and use Show.

Click a meeting to see when it is, where, who's invited, which calendar it came from, and Open in Google Calendar.

Meetings belong to the workspace, not the project, so the same meetings show on every project calendar.

Turning a meeting into work

The meeting's popover has two actions:

  • Create task makes an ordinary task, assigned to you and due on the day of the meeting. The meeting's time, place, guests and notes go into the task description.
  • Assign to Agent makes a task for an agent, with a one-off run before the meeting so the preparation is ready when you walk in. Choose when the agent runs: at the start, 30 minutes before, an hour before (the default), or the day before at 9am.

The Assign form has an optional box for what you want, in your own words, like "brief me on the attendees". When you click Assign, Claos turns that into instructions for the agent. Leave it empty and the task carries the meeting details instead.

Either way, the new task opens straight away so you can add to it. Each meeting can become one task. After that, the popover shows the task and opens it when you click.

Putting your Claos work in your own calendar

The same Calendars panel has a Subscribe section. Click Get calendar link and add the link to Apple, Google or Outlook Calendar. It shows your own dated tasks and scheduled agent runs. The link is private to you. Reset link makes a new one and stops the old one working.

Good to know

  • Nothing is written back. Claos never creates, moves or cancels anything in your Google Calendar.
  • Cancelled meetings disappear at the next sync, but a task you already made from one stays.
  • If Google signs you out, the panel says so and offers Reconnect.
  • Removing a calendar removes its events from Claos for everyone. Your Google Calendar is untouched.
