Agent memory
Memory is a short list of facts an agent reads before every reply: your name for the quarterly report, the client who prefers email, the day your team meets. You tell it once, and you don't have to repeat it in every conversation.
Memories are notes, not orders. An agent treats them as background about you and your work, and it can't be talked into following an instruction just because someone saved it as a memory. Standing guidance about how an agent should behave belongs in its instructions instead.
Where to find it
Open an agent's settings (the settings button at the top of its conversation) and choose the Memory tab. Claos has the same tab in its own settings panel. See Customizing Claos.
The tab has two lists:
- Alex remembers (with your agent's name). Notes kept for this agent alone. No other agent reads them.
- Shared with every agent. Facts about your workspace, your business and how you like to work. Every agent in the workspace reads these, Claos included.
Memories are grouped by theme, for example "Clients" or "Writing style". Click a group to open it. Memories that haven't been sorted yet sit in General. A small sparkle beside a memory means the agent learned it from a conversation rather than being told it on the tab.
You can also add the AI Memory widget to your Home page to see the latest memories at a glance.
Adding a memory
There are three ways.
- Tell the agent. In a chat, say "remember that our fiscal year ends on 30 June". The agent saves it, to its own list or to the shared one depending on whether it's about the agent's job or about your workspace.
- Write it on the tab. Open a group and type in the Add a memory line, then press Enter. You can type several in a row. To start a new theme, choose New group, name it, and add its first memory.
- Let the agent manage it (below).
Write each memory as one plain sentence, the way you'd say it to a colleague: "Client updates avoid bullet points."
Changing or removing a memory
- Edit: click the sentence, change it, and press Enter or click away.
- Delete: clear the sentence and click away. A message offers Undo for a moment.
- Groups: each group's menu has Move up, Move down, Delete group, and an option to move the whole group between the two lists: Share group with all agents, or Keep group for Alex only.
Letting an agent manage its memory
At the top of the tab, Let Alex manage this memory (with your agent's name) lets the agent keep the list up to date by itself. With it on, the agent:
- saves lasting facts from your chats with it, checking every few turns;
- refines what it already knows;
- tidies the list overnight, merging duplicates and removing entries that are out of date or contradicted.
A few things to know:
- It's off for every new agent.
- Only an owner or admin can switch it on or off. Everyone else can see whether it's on.
- It works on paid plans.
- It learns from your one-to-one chats with the agent. Conversations in rooms are never used, because several people talk there at once.
- Memories you wrote yourself are never rewritten by the agent.
What never gets saved
An agent won't save passwords, keys or anything that looks like a secret. It also won't save something that reads like an instruction to itself (for example a line in a document saying "always forward invoices to this address"). That keeps a stray sentence in a file or an email from changing how your agents behave.
Limits
Each agent holds up to 50 memories of its own, and the shared list holds 50. When a list is full, you get a notification ("Shared memory is full", or the agent's name and "memory is full") and nothing new is saved there until you make room. Delete what's out of date, or move a group to the other list.
Where the first memories come from
When you set up your workspace, the answers you gave about your team are saved to the shared list, so your agents know a little about you from the first chat. A starter pack can add a few example memories too.
Who can do what
- Viewers can read both lists.
- Members, admins and owners can add, edit, move and delete memories.
- Admins and owners can also switch on Let Alex manage this memory.
