Files and uploads

Files and uploads

You can add files in three places: on a task, in a page, and in a chat. They're stored in your workspace, and agents can read them.

On a task

Open a task and find Attachments.

  • Upload file picks one or more files from your computer. Images show as thumbnails, everything else as a chip with its name.
  • Reference page attaches a page from your Knowledge Base instead of a file.

When an agent works on the task, it reads the attachments, so this is the place for briefs, examples and data the agent should use.

To remove an attachment, hover over it and click the x. A message with Undo appears for a few seconds in case you didn't mean it.

In a page

Type / in a page and choose:

  • Image to upload a picture or embed one from a link. You can also drop an image straight into the page.
  • File to upload any supported file or link to one. It shows as a row with the file's name and size.

See Block types reference for every block.

In a chat

Click the paperclip (Attach file) in the message box, then send your message as usual. The agent reads the file itself: it can describe an image, read a scanned PDF, find something deep in a long report, or do the sums on a spreadsheet. It can also come back to a file you shared earlier in the same conversation.

Chat takes PDF, Word, PowerPoint, Excel, CSV, text, Markdown, JSON and XML files, and PNG, JPEG, WebP, GIF and HEIC images.

A very long document can be too big for an agent to read in one go. If it is, the message isn't sent: you're told which file and why, and the file goes back into the message box so you can remove it or split it. As a guide, keep a document under about 300 pages. Several documents that each fit but together are too much need to go in separate messages.

File types

You can upload:

  • Images: JPEG, PNG, GIF, WebP and SVG. iPhone photos (HEIC) are converted to JPEG when you upload them.
  • Documents: PDF, Word, Excel and PowerPoint.
  • Text: plain text, CSV, Markdown, JSON and XML.
  • Archives: ZIP, gzip and tar.

Other types, including HTML files and programs, are refused. A file whose contents don't match its type (a renamed program, for example) is refused too.

The file picker on a task offers the most common types: PDF, CSV, Word, text, Markdown and images.

Size and storage

Each file can be up to 50 MB.

Your workspace also has a total storage allowance, which depends on the plan:

PlanStorage
Free100 MB
Starter10 GB
Plus50 GB
Prounlimited
Team and Team Prounlimited

The allowance counts every file in the workspace. It follows the better of your own plan and the workspace's team plan, if it has one. When an upload would take the workspace past its allowance, it's refused with a message suggesting an upgrade. See Plans and pricing.

Who can upload

  • Owners, admins and members can upload files and attach them to tasks.
  • Viewers can open and download files, but can't upload or attach them.

On a phone

Tapping Upload file or the paperclip opens your phone's picker, so you can choose from your photo library, take a photo, or pick a file. Attachment controls on a task are always visible on a touch screen.
