One team plan for several workspaces

One team plan for several workspaces

If you own several workspaces, you don't need a team plan in each. One Team or Team Pro plan can cover all of them. Everyone in the covered workspaces shares the plan's weekly usage, and you pay for one set of seats.

Before you start

  • You must own both workspaces: the one that pays for the team plan and the one you want to add.
  • The paying workspace needs a team plan. See Upgrading and downgrading to start one.
  • The workspace you add can't have a team plan of its own. If it has one, cancel it first.
  • One level only. A workspace that is covered by another plan can't cover a third.

Adding a workspace to your team plan

  1. Switch to the workspace you want covered (not the one that pays).
  2. Go to Settings, Billing.
  3. In the Team plan coverage card, under Covered by your Team plan?, click Add to my Team plan.

The workspace now shares the plan and its usage, and you'll see "This workspace is now covered by your team plan". It gets its own Team plan page in settings, which shows Covered by and the name of the workspace that pays.

The card only appears for the owner, and only when you own a team plan in another workspace.

How seats are counted

A team plan needs one seat per person, and with several workspaces it counts people, not memberships:

  • Someone who is in two covered workspaces takes one seat, not two.
  • Pending invites count, unless the person invited is already a member somewhere the plan covers.

If adding a workspace would bring in more people than you have seats for, it's refused with a message saying how many more you need. Add seats on the paying workspace's Team plan page first, then try again.

The same count applies to invitations. When every seat is taken across the covered workspaces, inviting someone new to any of them is refused until you add seats.

Usage in a covered workspace

Members of a covered workspace use the team plan's shared weekly usage, the same pool as the paying workspace. Their own personal plans aren't touched while they work there.

Billing is managed only from the paying workspace. In a covered workspace, the Team plan page shows the plan, its seats and its shared usage, but no buttons to change the subscription.

Seeing and removing covered workspaces

On the paying workspace's Team plan page, the Team plan coverage card lists Covered workspaces.

  • From the paying workspace: click the x beside a workspace, then Remove.
  • From the covered workspace: click Leave the plan in the same card, then Leave.

Either way, everyone in that workspace goes back to their own plan and their own usage, and the workspace loses its team features. Nothing is deleted, and you can add it back at any time.

If you cancel the team plan

Cancelling the team plan releases every workspace it covers. When the plan ends, each covered workspace goes back to its members' own plans, the same as the paying workspace does. The cancel dialog names the workspaces that will be affected before you confirm.

Who can do what

  • The owner of both workspaces links and unlinks them.
  • Owners and admins of the paying workspace manage the subscription and its seats.
  • Everyone in a covered workspace uses the shared usage.
